Position Overview

The Tax Administrator plays an important role in supporting the firm's daily operations, client experience, and growth initiatives. This position focuses on administrative coordination, client communications, marketing support, and workflow organization within a fast-paced professional services environment.

The ideal candidate is organized, detail-oriented, professional, and comfortable balancing administrative responsibilities with client-facing communication and marketing support.

Key Responsibilities

Administrative Support

  • Provide administrative support to tax professionals, managers, and firm leadership.
  • Manage incoming and outgoing client communications, including emails, phone calls, and correspondence.
  • Assist with scheduling, calendar coordination, and meeting logistics.
  • Organize and maintain client files, engagement documents, and electronic records.
  • Support tax return assembly, delivery coordination, and document tracking processes.
  • Maintain accurate client information within firm systems and databases.
  • Assist with workflow tracking, deadline monitoring, and project coordination.
  • Support general office administration and operational tasks as needed.

Marketing & Client Communication Support

  • Assist with newsletters, email campaigns, client mailshots, and marketing communications.
  • Coordinate distribution of tax updates, reminders, announcements, and promotional materials.
  • Support social media posting, website updates, and general marketing administration.
  • Help organize client events, webinars, seminars, and promotional initiatives.
  • Maintain and update referral and prospect databases.
  • Assist with onboarding communications and setup for new clients.
  • Support leadership with follow-up communications related to prospective clients and business development efforts.

Qualifications

  • Associate's or Bachelor's degree preferred, but not required.
  • Prior administrative, office support, marketing coordination, or client service experience preferred.
  • Experience within a tax, accounting, legal, or professional services environment is a plus.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication abilities.
  • Proficiency with Microsoft Office, email platforms, and general office technology.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Strong attention to detail and professionalism.
  • Comfortable working collaboratively with clients and internal teams.
  • Experience with CRM systems, practice management software, or marketing platforms is a plus.

Salary

The total compensation for this role is $50,000 - $60,000, depending on experience.
