Description
POSITION SUMMARY
The Senior Finance Specialist functions as the organization's representative for the Finance Department on tasks related to accounts payable and disbursements, accounts receivable and receipts, travel reimbursements, payroll, cost allocation and labor distribution, bank reconciliation, credit card transactions and reconciliation, and timely processing/issuance of Form 1099s. This position provides back up to the Senior Accountant for payroll responsibilities. This role also processes provider and vendor payments, and supports the Manager, Finance & Accounting, with bank reconciliation, and assimilation of data and records for all audits. This position reports to the Manager, Finance & Accounting.
ESSENTIAL DUTIES AND RESPONSIBILITIES
• Prepare bi-weekly payroll in an organized, efficient, and accurate manner for 150+ team members
• Prepare accounts payable, cash disbursement, accounts receivable, cash receipts, and reclassification journal entries
• Process staff travel reimbursement requests in accordance with DEL guidelines and assist staff to ensure travel forms are completed correctly.
• Process monthly Cost Allocation and labor distribution and prepare appropriate journal entries in MIP
• Assimilate data and records for DEL Expenditure Validations, DEL Fiscal Monitoring, and A133 Audit
• Ensure that all materials and/or technology equipment shipped to childcare providers are supported by receiving documents maintained at ELCHC
• Ensure that provider/teacher stipends, wage supplements, and incentives are paid upon successful completion of related requirements and as approved by ELCHC.
• Ensure that providers/teachers submit valid W-9's
• Process A/P and disbursement transactions related to vendors, provider payments, stipends, and grants.
• Maintain current and eligible vendor and customer list in the MIP accounting system
• Train team members on the use of MIP modules
• Resolve inquiries regarding purchase-related invoicing issues with departments and/or vendors
• Assist with bank reconciliation process, as needed.
• Generate financial reports as needed
• Perform other duties as assigned

QUALIFICATIONS
• Associate degree from an accredited institution in accounting, finance, or closely related field
• Minimum 5 years of Early Learning Coalition (Florida-based) experience in financial recordkeeping utilizing Abila MIP Accounting, Payroll, Cost Allocation, and HR modules
• Ability to exemplify our Core Values daily
• Proven ability to connect with a diverse population
• Ability to identify and resolve problems in a friendly, professional, and timely manner
• Knowledge of Best Practices regarding customer service skills
• Solid ability to analyze situations carefully and adopt appropriate courses of action

• Intermediate skills with Microsoft Office Products
• This position requires successful completion of the level 2 background screening standards as set forth in s. 435.04, F.S..
Physical Activity/ Work Environment
• Work Environment: This job operates in a general office setting. This role routinely uses standard office equipment such as computers, phones, copiers/fax machines. While performing the duties of this job, the employee frequently interacts with staff, vendors, and the public in person and via telephone and email.
• Physical Demands: While performing the duties of this job, the employee will be required to sit for long periods at a desk, utilizing a computer and reviewing online and paper documents. The employee will also be required to lift and move up to 25 pounds and occasionally lift and move up to 50 pounds.
• Position Type and Expected Hours of Work: This is a full-time position. Standard hours of work are Monday through Friday however evening and weekend hours may be required.
