The Patient Services Representative I (PSR I) serves as the first point of contact for patients arriving at the imaging facility for scheduled or walk-in radiologic procedures. This role is responsible for greeting patients, completing check-in and registration processes, verifying required documentation, collecting payments, and ensuring accurate entry of patient and insurance information. The PSR I plays a key role in creating a positive patient experience while supporting efficient clinic flow, regulatory compliance, and collaboration with clinical and administrative team members in a fast-paced healthcare environment.

Essential Functions:

  • Greet, check in, and register patients promptly and courteously for scheduled and walk-in imaging appointments.
  • Verify required documentation for imaging procedures, including prescriptions, referrals, authorizations, insurance cards, and photo identification.
  • Confirm patient compliance with exam preparation requirements and communicate concerns to appropriate clinical staff.
  • Contact referring physician offices to obtain missing prescriptions, referrals, or clarifications as needed.
  • Scan and upload required documents into the patient's electronic record accurately and timely.
  • Update demographic, insurance, and clinical information for returning patients to ensure accuracy.
  • Provide required forms, explain instructions, and obtain patient signatures in accordance with policy.
  • Collect time-of-service payments, issue receipts, and document transactions accurately in the system.
  • Support daily operations by answering phones, scheduling or rescheduling appointments, and escorting patients as needed.
  • Collaborate with team members to support patient flow, assist with coverage during high volume periods, and perform additional duties as assigned.

Qualifications

Education:

  • High School Diploma or GED

Work Experience:

  • Knowledge of customer service concepts and company policies including safety, privacy, and HIPAA.

Technical Knowledge, Skills, and Abilities:

  • Ability to interact professionally, courteously, and empathetically with patients, families, physicians, and team members, including those who may be anxious or upset.
  • Understanding of patient registration workflows, insurance verification, referrals, authorizations, and basic medical terminology, preferably in an imaging or healthcare setting.
  • Ability to efficiently use electronic health record systems, scheduling software, scanners, and office equipment with strong typing accuracy and attention to detail.
  • Ability to verify patient information, documentation, and financial transactions accurately to ensure compliance, billing integrity, and quality patient care.
  • Ability to identify registration issues, missing documentation, or scheduling conflicts and take appropriate action, including contacting referring offices or escalating concerns.
  • Ability to function effectively in a team environment, manage multiple priorities, and adapt to changing workloads, patient volumes, and operational needs.
