The Onboarding Specialist serves as a trusted partner to candidates throughout the onboarding process, delivering a seamless and positive candidate experience while ensuring all pre-employment and compliance requirements are completed. This role coordinates onboarding activities in Workday, proactively supports candidates, hiring managers, and recruiters, resolves complex trouble-shooting issues and escalations, and contributes to continuous process improvements and program enhancements across the US, Canada, and Latin America.

Support overall TA pre-boarding activities, including:

Facilitate applicable pre-employment screenings including background checks following self-adjudication practices, drugs screens, medical mandates, and motor vehicle reports for the Americas markets.

Support I-9 & E-Verify right to work processes, including I-9 reverifications.

Cross-functional partnership providing onboarding guidance and problem-solving support to groups including, but not limited to, Talent Acquisition, HR People Services, People Services Technology, and IT.

Answers Candidate and Hiring Manager inquiries, using urgency and sound judgement to resolve problems.

Provide Onboarding Team training and coaching to team members.

Back-up support for Executive Interview Scheduling and Onboarding.

Process Improvement activities, including:

Identify opportunities for improving overall onboarding experience and recommending solutions to achieve operational excellence.

Participation on Onboarding projects.

Process mapping, documentation, and presentation.

Additional Qualifications/Responsibilities

Requirements:

Bachelor's degree preferred

3+ years of HR Admin/Support experience, with experience in Talent Acquisition preferred.

Detail-oriented with excellent verbal and written communication skills.

Knowledge of Applicant Tracking Systems (ATS) required; experience with Workday ATS preferred.

Strong sense of urgency with the ability to prioritize and complete projects in a timely manner.

Excellent organization and problem-solving skills.

Demonstrated ability to effectively partner and collaborate with peers to deliver dynamic Candidate and Hiring Manager experience.

Demonstrated ability to develop meaningful and long-term internal and external relationships.

Basic analytical skills with the ability to assess and present key data.

Demonstrated proficiency with the Microsoft Office suite, including Outlook.
