As the Office Manager, you will serve as the central point of contact for office administration, facilities coordination, vendor management, executive scheduling, travel coordination, and workplace operations. You will play a key role in ensuring the office runs efficiently while supporting leadership and fostering a professional, collaborative, and welcoming environment.
This position occasionally requires flexibility to support company meetings, events, executive needs, or special projects outside of regular business hours, including evenings and/or weekends.

KEY RESPONSIBILITIES
Office Operations & Facilities Management
- Manage the day-to-day operations of the office to ensure a productive and professional work environment.
- Serve as the primary point of contact for visitors, vendors, building management, and service providers.
- Maintain reception, conference rooms, and common areas in a clean, organized, and guest-ready condition.
- Coordinate office maintenance, repairs, facility requests, parking access, HVAC concerns, and cleaning services.
- Oversee vendor relationships and schedule service appointments as needed.
- Monitor and maintain office supply inventory, workplace amenities, snacks, and beverages.
- Process incoming and outgoing mail, packages, and deliveries.
- Ensure office spaces are operational and prepared for daily business activities.
Executive Support
- Provide administrative support to senior leadership, including calendar management and scheduling.
- Coordinate domestic and international travel arrangements, itineraries, and related logistics.
- Prepare, submit, and track executive expense reports.
- Assist with meeting preparation, conference room scheduling, agendas, and logistics.
- Support onboarding logistics for executive leadership team members.
Events & Employee Experience
- Assist with planning and coordinating internal meetings, leadership meetings, off-site events, and company-sponsored activities, including occasional support during evenings and/or weekends.
- Support employee engagement initiatives, team-building events, and workplace celebrations.
- Help cultivate a positive, professional, and collaborative office culture.
Administrative Support
- Answer and direct incoming phone calls and general inquiries.
- Maintain accurate records and administrative documentation.
- Handle confidential and sensitive information with professionalism and discretion.
- Perform additional administrative and operational duties as assigned.
EDUCATION & EXPERIENCE
- High school diploma or equivalent.
- Minimum of three (3) years of experience in office administration, office management, executive support, reception, administrative coordination, or a related role.
- Experience supporting senior executives or leadership teams.
- Experience with Concur or similar expense management software.
- Experience coordinating vendors, facilities, or workplace operations
- Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
- Strong organizational, multitasking, and time-management skills.
PREFERRED QUALIFICATIONS & SKILLS
- Strong verbal and written communication skills
- Demonstrated attention to detail, organization, and follow-through
- Ability to manage multiple priorities in a fast-paced environment
- Professional interpersonal and customer service skills
- Experience with Concur or similar expense management systems preferred
- Ability to work independently while supporting cross-functional teams
- Strong problem-solving and organizational abilities
