About the Role
As a CBRE Mail Services Associate, you will be an integral part of the Office Operations function, responsible for overseeing all aspects of mailroom operations within our corporate office in Tampa, FL. Your role is crucial in providing essential office support to clients, business functions, and individual contributors, ensuring the efficient and secure handling of all mail and packages.
What You'll Do
- Audit delivered items against delivery invoices to ensure accuracy.
- Inspect deliveries, approving or rejecting them based on established criteria and checking for contraband.
- Ensure timely processing and delivery of all packages received on the same day, or promptly advise consignees of next-day arrivals.
- Distribute mail, packages, copy products, and stationery to designated groups or locations according to daily schedules.
- Implement measures to protect all shipped packages against potential damage.
- Process shipment requests with external vendors, keeping package owners informed of arrangements.
- Accurately apply appropriate postage amounts and required identification to all outgoing mail and packages.
- Maintain and stock copy rooms, serving as the first point of contact for copier fleet production issues.
- Conduct daily checks of mail and postage supplies, replenishing as necessary.
- Address common inquiries and complaints from clients, co-workers, and supervisors, effectively presenting information to internal teams.
- Collect and analyze data to identify and resolve complex, unprecedented problems, potentially recommending new techniques and procedures.
- Manage shipping and receiving operations through carriers such as UPS/FedEx.
- Drive to and from the building to various dealerships for fleet vehicle maintenance and repair.
- Requirements
- Proven ability to manage and execute mailroom operations efficiently.
- Strong attention to detail for auditing deliveries, inspecting items, and applying postage.
- Excellent organizational skills to ensure timely package delivery and supply management.
- Ability to communicate effectively with clients, co-workers, and supervisors.
- Problem-solving skills to address and resolve complex operational challenges.
- Experience with shipping platforms (e.g., UPS, FedEx).
- Valid driver's license and a clean driving record for fleet vehicle management tasks.
- Physical ability to lift and move packages as required by the role.
- Impact own team and other teams whose work activities are closely related.
- Suggest improvements to existing processes and solutions to improve the efficiency of the team.
- High School Diploma or GED with 3-4 years of job-related experience.
- Ability to write routine reports and correspondence.
- A comprehensive understanding of a range of processes, procedures, systems, and concepts within own job function is required.
- Ability to evaluate and communicate unusual and/or complex content in a concise and logical way.
- In-depth knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, etc.
- Advanced organizational skills with an inquisitive mindset.
