The Community Services Coordinator supports the Managers in Amenity Services and Community Asset Management in the execution of day-to-day administrative, operational, and client service functions. This role plays a key part in maintaining consistent communication, organizing documentation, and ensuring that operational and customer service standards are met across all Rizzetta Amenity Services accounts. The Coordinator serves as a vital link between the Amenity Services Manager, clubhouse staff, and internal departments. Responsible for preparing, circulating, and filing addenda and contracts. This role helps to ensure efficient, timely, and professional candidate experience by preparing job postings, candidate communication, scheduling, and applicant tracking.

Essential Job Functions
- Prepare and maintain project files, meeting notes, audit reports, and checklists for site visits and quality audits.
- Assist with the development, formatting, and distribution of Standard Operating Procedures, Risk Management Manuals, and safety topics.
- Draft internal communications for safety, weather events, policy changes, and updates from management.
- Respond to general inquiries from clubhouse staff, vendors, or community managers and escalate as needed.
- Assist with expense tracking, and budgetary documentation in collaboration with accounting.
- Draft and post job openings on internal and external platforms.
- Review incoming resumes and applications for certain positions.
- Maintain applicant tracking system (ATS).
- Perform initial phone screens as requested to assess candidate's interest and basic qualifications.
- Draft job descriptions based on manager input.
- Responsible for the full onboarding process.
Education
- Bachelor's Degree preferred.
Experience
- Required - Minimum of 2 years in hospitality services industry.
Job Skills
- Excellent verbal and written communication skills.
- Excellent interpersonal skills.
- Independent with the ability to take initiative.
- Excellent time management skills with a proven ability to meet deadlines.
- Proficient with Microsoft Office Suite or related software.
- Proficient with or the ability to learn quickly the applicant tracking system.
Work Environment
- This job operates in a professional office environment.
- From time to time may need to travel locally to attend evening board meetings
Physical Demands
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift to 15 pounds at times.
