Animal Hospital Coordinator
Position Summary
This position provides comprehensive administrative and operational support to the veterinary hospital, working closely with the Senior VP, Chief Conservation and Animal Health Officer, veterinarians, and veterinary technicians. The role ensures accurate medical record management, regulatory compliance for animal shipments, coordination of lab work, inventory, scheduling, and hospital logistics. It also serves as a key communication liaison among veterinary staff, animal departments, external agencies, students, and visitors to support efficient daily hospital operations.

Your day to day
Essential Functions (including, but not limited to):
- Input lab work results
- Enter anesthesia records
- Assist with the order of paper flow through the clinic
- Help with routine cleaning and maintenance of hospital equipment
- Assist with compiling and sharing medical records for animal acquisitions and dispositions (shipments)
- Communicate with state veterinary offices regarding permits and testing requirements for animal shipments
- Write health certificates and send completed certificates to the Florida State Veterinary Office
- Coordinate pest control and hospital work orders
- Assist with scheduling hospital inspections and mandatory trainings for hospital team members
- Contact lab couriers for daily sample pickup
- Correspond with veterinary students prior to scheduled rotations
- Facilitate scheduling veterinary walking rounds with various animal departments
- Print and record outside lab results for veterinary review
- Serve as contact liaison for new hire orientation and donor tours
- Aid with ordering inventory (medications and hospital supplies)
- Share veterinary on-call schedule with animal curators and supervisors
- Perform other duties as assigned to maintain hospital operations
What are we looking for?
Qualifications and Experience:
- High school diploma or equivalent required; Associate's or Bachelor's degree preferred
- 2-4 years of administrative, office, or clinical coordination experience required
- Experience in animal health, veterinary support, or clinical environments preferred (veterinary technician experience a plus)
- Demonstrated ability to take on increasing responsibility, with strong leadership potential
- Prior supervisory or management experience preferred
- Strong organizational, communication, and problem-solving skills
- Ability to work in a fast-paced, team-oriented clinical environment
- Proficiency with computer systems (e.g., Microsoft Word, Outlook), including strong data entry and recordkeeping skills; experience with veterinary systems (e.g., ZIMS) a plus
- Flexibility to work varied schedules, including weekends and holidays as needed
- Ability and willingness to learn occupational hazards and follow appropriate safety precautions
- Previous veterinary hospital or animal care experience a plus
