Administrative Transaction Specialist

The Administrative Transaction Specialist keeps the wheels turning behind the scenes, making sure sales transactions move smoothly from submission all the way through completion and funding. You'll work closely with Sales, Service, Leasing, and other internal teams to ensure every transaction is accurate, complete, and processed on time.

This is a fast-paced role where attention to detail, organization, and teamwork really matter. Since your work directly impacts monthly billing and revenue, staying on top of deadlines and keeping information accurate is a big part of the job.

WHAT YOU'LL DO
  • Manage the full processing of sales transactions, making sure submissions are complete, accurate, and ready to move forward.
  • Prepare and process sales orders, leasing documents, sales orders, service agreements, equipment in/out documentation, lease returns, and commission sheets.
  • Review pricing and calculations using MSRP and current approvals to ensure deals are accurate and ready for funding.
  • Keep equipment and transaction information accurate and up to date in E-Automate as equipment leaves DEX and is delivered.
  • Enter manual sales orders and pricing into E-Automate and Salesforce within 24 hours of submission.
  • Handle leasing activities, including lease approvals, lease invoices, buyouts, and account updates.
  • Provide Hold Harmless agreements to Sales Representatives when needed.
  • Process transaction check requests after deals are funded, ensuring all required documentation is complete and commission sheets are updated.
  • Follow up on funding and payments for cash transactions to help keep deals moving.
  • Prepare and provide reports, invoices, and other documentation for Sales and Service teams.
  • Jump in and support other Administrative Transaction Specialists when needed.
  • Take on additional responsibilities and projects as assigned.

EDUCATION & EXPERIENCE REQUIREMENTS
  • High school diploma or equivalent required.
  • 1-2 years of experience in data entry, order processing, administrative support, or a related office environment preferred.
  • Previous customer service experience is a plus.
  • Strong attention to detail and the ability to accurately enter and manage information.
  • Must be able to read, write, and effectively communicate in English.
  • Comfortable working with computers and learning new software and systems.
